MEETING MINUTES

Fire Department Board Meeting

May 8, 2018

Meeting called to order by Mayor Chris Tuter at 7:00 p.m. on May 8, 2018, followed by the Pledge of Allegiance.

Answering roll call:  Mayor Chris Tuter and Trustees Lisa Cookson, Norma Crockett, Shelly Martin, and Rick Trevathan.  Quorum was declared.  Fire Chief Larry Sanders, Jr., Police Chief Larry Sanders, and Town Clerk Janice Sharp were present.  No visitors were signed in nor were any visitors signed in to speak.        

1.   Fire department report for April 2018 was given by Fire Chief Sanders, reporting 5 medical calls, 3 fires, 0 motor vehicle accidents, 0 off-road vehicle accidents, 1 class, 1 fire department meeting, 2 storm watches, and 0 gallons of water used.

 a)  Fire Chief Sanders reported that he would provide the maintenance report for the brush truck when the report became available.  No action was taken regarding the maintenance reports on the fire department vehicles. 

2.   Trustee Martin made a motion, with Trustee Crockett seconding the motion, to approve the Meeting Minutes of the Fire Department Board’s regular session meeting on April 10, 2018. Voting: Tuter, yes; Cookson, yes; Crockett, yes; Martin, yes; and Trevathan, yes.  Motion carried.

3.   Mayor Tuter made a motion to continue to gather pertinent information on the purchase of a brush truck.

Mayor Tuter struck this motion.

Trustee Trevathan made a motion, with Mayor Tuter seconding the motion, for Fire Chief Sanders to do his due diligence in the bid process for the purchase of a brush truck, with a ceiling cap of $150,000, and to present that information back to the Board of Trustees for a Special Meeting, with the date of the Special Meeting to be determined when Fire Chief Sanders has the necessary information.  Voting:  Tuter, yes; Cookson, yes; Crockett, yes; Martin, yes; and Trevathan, yes.  Motion carried.

Fire Chief Sanders reported on the specifics of the brush truck and the purchase:  2017 or 2018 model, 2-ton, 500-gallon water capacity, with a step up to a cage for firefighting, purchase price of $125,000 to $150,000, financed and a $30,000 down payment, payments of approximately $1,700 per month for 3 to 5 years, down payment and loan payments to be paid from funds in the fire department’s account with the Mayes County Commission, and the stipulation that this reported information is subject to change.  Fire Chief Sanders also reported the request for bids had been submitted, and the timeline for receiving bids would end in a few weeks.  Fire Chief Sanders explained the new brush truck would be an additional brush truck for the fire department, and the current brush truck would not be traded in or sold.  Trustee Cookson asked that Fire Chief Sanders compile all of the financial and equipment information, as well as any other details and particulars, for the Special Meeting, in order for the Board of Trustees to be able to make an informative decision.

4.   Trustee Martin made a motion, with Mayor Tuter seconding the motion, to table the discussion and completion of plans for the firemen’s ball / open house until the Fire Department Board’s meeting on July 10, 2018, with a tentative date of Saturday, October 6, 2018, for the event. Voting:  Tuter, yes; Cookson, yes; Crockett, yes; Martin, yes; and Trevathan, yes.  Motion carried.

5.   Old Business. None.

6.   Unforeseen Business. None.

7.   Comments from Fire Department Board. None.   

8.   Approval of Adjournment. Mayor Tuter made a motion, with Trustee Martin seconding the motion, to adjourn the meeting at 7:22 p.m.  Voting:  Tuter, yes; Cookson, yes; Crockett, yes; Martin, yes; and Trevathan, yes.  Motion carried, meeting adjourned.
